Full Incident Report Creation

You have written log entries and a basic incident report but neither of these examples has taken full advantage of CIP's report writing tools.  You will now write an incident report which takes advantage of all of CIP's report writing tools.

A vehicle accident report

In this mock scenario we will assume a vehicle accident in the parking garage involving 3 patrons and 2 vehicles.  We will write this incident report as a vehicle accident report.

Step 1: Click 'New Entry'.

Step 2: Add a narrative by clicking 'Narrative'.

Step 3: Add two vehicles by clicking 'Vehicle' twice.

Step 4: Add three subjects by clicking 'Subject' three times.

Reordering objects on the report

You can change the order of objects on the report by dragging them by their titles and placing them where you want them.  For this report you need to reorder the objects so the report reads report details, narrative, subject, vehicle, subject, subject, vehicle.

If you are moving an object to a location not visible on the screen it takes some practice to drag an object and scroll the window at the same time.  If you are dragging an object and the screen is not scrolling do not release the mouse and try slightly moving the object up and down to get the screen to scroll.

Step 5: Click and hold the title of the vehicle object

Step 6: Drag the vehicle object down below the first subject

Step 7: Release the mouse

Step 8: Drag the remaining vehicle at the top of the report to the bottom

After reordering the report objects you report should go from top to bottom report details, narrative, subject, vehicle, subject, subject, vehicle.

Renaming object titles

You can change the title of an object by double clicking the name.

Step 9: Double click the word 'Subject' in the title of the first subject.

Step 10: Change the title to 'Vehicle A Driver' and click 'OK'.

Step 11: Rename the first vehicle to 'Vehicle A'.

Step 12: Rename the second person to 'Vehicle B Driver'.

Step 13: Rename the third person to 'Vehicle B Passenger'.

Step 14: Rename the last vehicle to 'Vehicle B'.

When you are finished your object order and names from top to bottom should be report details, narrative, vehicle A driver, vehicle A, vehicle B driver, vehicle B passenger, vehicle B.

Enter the report information

Use the following information for each section of the report:

Report Type: Auto Accident
Note: Two patron vehicles involved in an accident in the parking lot
Narrative: At 02:20 security was notified of an automobile accident in the parking lot and dispatched agent Riffel to investigate. Upon investigation both vehicles were crossing the parking lot outside of designated traffic lanes and were in a head on collision at less than 10 miles per hour.

Under the instruction of agent Riffel both automobiles were photographed, insurance information was collected, and each party was instructed to contact their insurance agency.

There were no injuries.

Adding media to the report

In this test report we assume the dispatched agent took a photograph of the damage to each automobile.  You can attach these photographs directly to each vehicle on the report.  You can substitute any photographs you have available or you can download the two photographs used in this tutorial here and here.

Step 15: Click the file icon in the 'Attach' section of 'Vehicle A'.

Step 16: Select the image file to attach and click 'Open'.

Tell me more

You will see a thumbnail of the image you attached added to vehicle A.  You can attach any type of media including video files.  Media attachments are covered in more detail in a later chapter.

Step 17: Attach the image of Vehicle B.

Step 18: Click 'Save Report'.

Viewing the result

After saving the report you will be taken to your daily log.  Click on the new auto accident incident report you created to view it.  While viewing the report you can click the thumbnails of the images to view the full size originals.  You can view this report which has been exported from CIP in either Word or PDF format:
